Last-Minute Event: Not Enough Restrooms Booked or Trailer Unavailable
The event is a week away and the venue's two bathrooms cannot handle 150 guests, or the restroom trailer you counted on just fell through. This is more common than planners admit, especially for peak-season weekend weddings when premium restroom trailers book months ahead. The fix depends on what is still available and how flexible you can be on equipment type.
Restroom demand follows a simple formula. The Portable Sanitation Association International (PSAI) publishes a minimum table for special events: 1 unit for up to 50 guests and 2 units for 100 guests at a 4-hour event, increased 20 to 30 percent when alcohol is served or it's 80°F or hotter. We plan from about 1 unit per 50 guests, plus 20% for alcohol and another 20% for events of 6 hours or more. A 150-guest wedding with a 5-hour reception and bar service needs about 4 units worth of capacity (150 ÷ 50 = 3, plus 20% is 3.6, rounded up), whether that comes from a 4-stall trailer, a mix of trailers and porta potties, or standard units alone. The math does not change just because booking is late; only the equipment options do.
Do not wait until the day of the event. Call multiple rental companies now, explain the situation honestly, and be ready to accept alternatives: a smaller trailer, a standard trailer instead of a luxury unit, porta potties alongside the trailer, or a Friday delivery if Saturday is full. Every hour you delay shrinks the pool of available equipment.

What to do in the first 5 minutes
- Count your guests and event hours. Start at about 1 unit per 50 guests; add about 20% for alcohol (PSAI says 20–30% for alcohol or heat) and another 20% for events of 6 hours or more.
- Call at least three rental companies in your area today, not tomorrow. Ask what units they have available for your exact dates and delivery window.
- Ask about alternative equipment: if the 4-stall luxury trailer is gone, a 2-stall trailer plus two porta potties may cover the same capacity.
- Confirm power and water at your site. Trailers need electricity; some need water hookups. Porta potties need neither, which can make them faster to deploy.
- Get delivery and pickup windows in writing, especially for venues with limited access hours.
- Ask about cancellation or rush fees. Last-minute bookings often carry surcharges; know the total before you commit.
Do not do this
- Do not assume the venue's septic or plumbing can absorb a crowd it was not designed for. Overloading a residential septic system can cause backups and ruin an event faster than missing a few stalls.
- Do not skip accessible units. ADA guidance and many event permits call for at least one accessible restroom at public-facing events. PSAI recommends at least 5% of units be accessible, with a minimum of one.
- Do not sign a contract you have not read. Rush bookings still require a written agreement with delivery, service and pickup terms.
Common causes
Venue capacity misunderstanding
Many barn, farm and estate venues have residential-scale bathrooms that cannot support event crowds. Some venue contracts require renters to provide portable sanitation, but the requirement gets lost in other details.
Original booking fell through
A rental company cancelled, double-booked, or failed to confirm. If this happened, call other providers immediately and explain why you are calling late.
Guest count grew after the original order
RSVPs came in higher than expected, and the 2-stall trailer booked months ago is now undersized for 200 guests instead of 100.
Peak-season weekend
May through October wedding Saturdays fill early. If your date is three months out and premium trailers are gone, you are not unusually late; inventory is simply limited.
What it typically costs
Stahla's published 2026 rate card lists standard porta potties at $150 to $300 per event and a 2-stall restroom trailer at $2,799 per event (Friday to Monday). If the luxury trailer is unavailable, a mix of standard trailers and porta potties may cover capacity at a similar or lower cost. Rush delivery, weekend surcharges and generator rentals (when the site has no power) are additional. Stahla lists climate control at $200 to $400 and generator rental at $150 to $300 per day.
Frequently Asked Questions
Can I rent a restroom trailer one week before my wedding?
Sometimes, but expect limited options. Premium and luxury trailers often book 3 to 6 months ahead for peak-season Saturdays. Standard trailers and porta potties are usually more available on short notice. Call multiple providers today.
How many restrooms do I actually need?
Plan about 1 unit per 50 guests, in line with PSAI's special-events table (2 units for 100 guests at a 4-hour event), then add 20% for alcohol and 20% for 6+ hours. For a 150-guest, 5-hour wedding with alcohol, plan for about 4 units worth of capacity. A 4-stall trailer, or a 2-stall trailer plus two porta potties, both meet that count.
Is a porta potty acceptable at a wedding?
It depends on your guests' expectations and your backup options. A well-maintained porta potty is functional, and VIP or flushable deluxe units with interiors nicer than standard porta potties are often available on shorter notice than trailers. If the choice is no restrooms or a porta potty, choose the porta potty.
What if the venue says its bathrooms are enough?
Ask the venue how many toilets it has and what the septic or plumbing system is rated for. A residential septic serving two bathrooms is not designed for 150 guests over 5 hours. If the venue hedges, protecting both the party and the property with portable units is the safer call.
Will last-minute rentals cost more?
Often yes. Rush fees, weekend delivery surcharges and reduced selection can all raise the price. Get the all-in quote in writing before you commit, including delivery, servicing and pickup.
